ESGO Workshop Guidelines

Workshop Generalities

Input from ESGO:

• The Society is involved in the design of the content and selection of topics fully respecting local needs and recommendations

• Recognition of the scientific value of the event. The ESGO logo is granted for use in the workshop brochure, slides and working materials, reflecting their endorsement

• The scientific value of the event should be evident through the calibre of the speakers and their expertise in the field.

• Financial support and pre-financing of the meeting: the economic and structured support varies according to content and impact

• 2-3 high level European speakers and financing their travel expenses (including accommodation)

• ESGO free trial membership (on-line access to the International Journal of the Gynecological Oncology) is offered to all participants of the meeting

• Workshop promotion via ESGO Channels (website, newsletters)

• Approval from the ESGO Council is necessary

 Input from the Local Organizer (LO):

• Share the ESGO mission by contributing to the education of local medical professionals and locally promote ESGO

• Design of the scientific program according to the local needs

• Local promotion and organization of the event

• Applications received from ESGO members have priority

 Input from the ESGO Speakers:

To contribute to ESGO educational initiative by lecturing and sharing their expertise

• To promote ESGO membership and biennial meeting to the participants through a short presentation about ESGO. The slides are prepared by ESGO and sent to lecturers before the meeting.

• To send a short summary after the meeting

Organisation

The organisation of the ESGO workshop is fully in the hands of the Local Organizing Committee. After the event, the organizer is asked to send:

  • Copy of all printed outcomes  (Final programme, course book etc)
  • Final report and detailed Financial report (Forms communicated separately)
  • List of participants (addresses, e-mails) in order to grant them free ESGO membership.
  • Others: in case of industry support, the event should not be sponsored by a unique sponsor
  • Hotel reservation and transportation of speakers from the closest airport to the hotel and return journey to departure, as well as local transportation

 Financial issues

The financial support approved by the ESGO Council will be transferred as follows:

The first part (50%) - before the workshop upon the receipt of a complete design of the event:

  • Name, exact dates, venue
  • Final scientific programme (topics, speakers)
  • Preliminary budget

The remaining part - after the workshop upon the receipt of:

  • Final report signed and sealed by the Local Organizer (society/ institution)
  • Detailed final financial report
  • List of participants with their full contact details (addresses, e-mails)

NB: Travel expenses of speakers are covered by the ESGO Administrative Office and deducted from the total amount of the financial support. Travel expenses are reimbursed directly to the speaker upon his/her claim after the workshop.

 An official pro-forma invoice including full bank details is required for any payment.

Make sure you have with you all the following documents and information:

R Name and exact date of the event 
R  Proposal of scientific programme, suggestion of topics for international 
           speakers(arranged by ESGO)
R  Preliminary budget to evaluate the ESGO financial input applications will be
           reviewed by an ESGO Council.

Deadline of applications: August 31st for an application taking place the following year.
